Minutes SSSS Board Meeting- Tue Dec 5, 2019
Present: Casey Jones, Rich Adams, Steve Worcester, Beth Brownell, Paul Paroff, Rich Wells, Bob Butts, Jim Larsen
Round Robin to build the agenda.
Topics: Planning for auction meeting, articles needed for StS, Need to audit membership records and catch up on people who did not get their renewal recorded.
Beth suggests we have an additional board meeting to work through the records and try to get the record keeping up to date on memberships.
Need to audit people who paid by PayPal to see that they got cards and burgees. Need to audit those who paid in person to see if they were put in the database. Need to track down a couple of missing checks. Beth will compare lists from meetings with bank records. Beth will perhaps reach it to Jim Jones to see if they can build an email list based on PayPal payees to ask them if they got cards and, where appropriate, burgees. August first to present will be audited.
No news from the Race Chair.
Rich W. asks why we don’t keep a receipt book?
50th anniversary update. Rich has made a flier. Taking submissions for artwork. We may start making the flier available this month.
SWAG has not been ordered yet. Hats need to be ordered soon.
Bob B – Peter Wilcox will speak in January – biodiesel presentation. Bob is accepting suggestions for speakers.
Please come by 5:30 to help set up tables and chairs for the potluck.
Discussion about how to improve the size of the B Fleet.
Marketing plan is on hold by Casey while we attend to other pressing items of business.

Motion to officially nominate Alex as the new secretary and observing Seamus stepping down (6:44 PM) PASSED
New future focus for the years to come. Educate and accept new sailors into the community.
Ideas for getting more boaters. One design races? J24 regatta?
We used to have a Spring Regatta. Fell apart due to lack of attendance.
Trying to mix up the cruisers and racers to get more cross-pollination.
New members and skippers need a good way to meet. Making a designated table at the meetings for these folks to meet one another.
Writing down emails
Seminar for how to use the website to allow more people to use it
Proposing adding a new board member: Public outreach and membership/ Marketing Director
Re-filing by-laws takes time so having the new member joining the board will take time. The person can join the board but unofficially
The individual that could fill the position will be in attendance at the next meeting
Oyster House October 2nd there will be an OYC meeting that all are welcome to Jim
Needing to upgrade scoring system that will run on an updated OS.

A presentation on cruising in the Brotons(?) from an individual who has lots of experience sailing.
A presentation on repair and bottom painting. Boat maintenance individuals in the club would be good speakers for this topic.

At 5:30 PM for the first general meeting (Sept 10th) we will need to set up everything for the Potluck. 6:30 PM is when food will be given out.

Board of Directors Meeting Minutes- November 5, 2019
Present: Casey, Beth, Steve, Paul, Jim , Eric, Rich, and Rich
Casey: Youth Sailing Dinner Nov 16(?), fill a table for youth sailing dinner. $50 per person. Casey is buying a spot and challenging the board to buy a spot and fill a table.
Steve: We may be mailing STS using stamps because sometimes the newsletter weighs less than 1 ounce. If it is over an ounce, we can use two stamps. Bulk mail costs a little more, but will handle up to 3 ounces.
Steve needs photos. If you send them, you MUST provide photo credit. Send photos outside of the Word document.
Write articles in the first person when ever possible.
Mort James was killed yesterday. OYC member. Car wreck. He and his wife. Mark boat on Toliva. We should recognize him at the meeting.
South Sound hats and caps. People are asking where to buy them.
Jim: Who is serving next year? Need to recruit Asst Race Chair, Asst Cruise Chair, Vice Commodore. Maybe a Secretary. What about Program Chair?
Casey for Bob B: America’s Cup 2020 presentation. OK to bring them in? Bob is in charge and can book this if he likes it.
Beth: Welcome back! Bank account is doing well. Transferred $3k form paypal. Concerned about membership accounting, membership cards and database entry. Getting a number of requests from members who say their checks are not betting cashed and cards are not being delivered. Some have paid, but are still getting email warnings that they are due.
Volunteer entry forms from the website – Casey says he responds to each one that is coming in from Jim Jones.
Rich Adams: Wine Cruise promoted by Casey at meeting next week. Parade of Lighted Ships coming up Dec 7. Need to get info so we can announce.
Rich Wells: Learn to Race. People signed up. Took people out last 3 weekends. Rich may not take his boat out any more, but he continues to take volunteer skippers. Steve volunteers to help coach/mentor people wanting to learn to race.
50th Anniversary logo design contest. Rich is accepting ideas. Has a flier to distribute.
Group discussion of how we will recognize 50 years. Slogan? Theme?
Rich showed an electronic membership card from his golf club. Can we do something like that for the club?
